2. How We Use Your Data

Your information is used to:

• Manage your event inquiry and planning through our CRM system
• Provide AI-powered chatbot conversations for instant support and booking assistance
• Monitor conversation quality to improve our AI responses and service
• Send email communications including agreements, invoices, reminders, and updates
• Generate service agreements and process invoice payments
• Coordinate with vendors and team members for your event

3. AI Processing

Our platform uses artificial intelligence to enhance your experience:

• Chat conversations are processed by AI (Anthropic Claude) to provide instant, knowledgeable responses about our services
• Conversations may be reviewed by our AI quality system to identify and correct inaccurate responses
• AI-generated corrections feed into our improvement pipeline to ensure accurate pricing, setup information, and recommendations
• We do not sell your data to any third party. AI processing is solely for improving the quality of our service to you.

4. Third-Party Services

We use the following third-party services to operate our platform:

• Stripe — secure payment processing for deposits and invoices
• Resend — transactional email delivery (agreements, invoices, reminders)
• Anthropic (Claude API) — AI chatbot and conversation quality analysis
• Meta / Instagram — messaging integration when authorized by the user
• Google — Analytics (site usage), Calendar (event scheduling)

Each third-party service operates under its own privacy policy. We only share the minimum data necessary for each service to function.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Specifically:

• Contact and event information is retained for the duration of our business relationship
• Chat transcripts are retained for quality improvement and may be reviewed for up to 12 months
• Payment records are retained as required by law (typically 7 years for tax purposes)
• Data is deleted upon request, subject to legal retention requirements

6. Your Rights

You have the right to:

• Access your personal data — request a copy of all data we hold about you
• Correct inaccurate data — update your contact information or event details
• Delete your data — request permanent removal of your information from our systems
• Opt out of marketing communications at any time

8. Instagram Data

When users authorize Instagram messaging integration:

• We access Instagram Direct Messages solely for CRM purposes — to track conversations with potential and existing clients
• DM data is used to link conversations to client profiles and improve follow-up coordination
• We operate within Meta's Platform API policies and only access data that users have explicitly authorized
• Instagram data is not shared with any third parties beyond what is described in this policy
